Executive Assistant at AstraZeneca, Stockholm

We are seeking an Executive Assistant to AstraZeneca in Stockholm!

Do you have prior experience working as an assistant and administrator, along with the ability to consistently prioritize, manage tasks, and take continuous notes? Are you also able to drill down into the details and communicate challenges and possible obstacles at an early stage to the relevant parties in order to secure right delivery on time? If the answer is yes, we have an exciting opportunity for you. We are currently looking for an experienced Executive Assistant for a consulting assignment at AstraZeneca in Stockholm. As an Executive Assistant, you will play a conclusive role in supporting our Nordic and Sweden Country President.

This is a consulting assignment starting on November 6, 2023, and running until March 31, 2024. You will be employed by TNG but work on-site at AstraZeneca with a location in Stockholm.

Your Responsibilities

Support to the Nordic and Sweden Country President:

  • Appointment coordination, appointment scheduling and tracking
  • Travel planning, travel booking and expense accounting
  • Preparation of emails, documents, presentations and meetings
  • Independent processing and coordination of ad hoc local projects as per agreement with Country President
  • Organising and following up on the LT meetings, including scheduling, preparing, note-taking (as needed) and following up with LT members and other partners on actions from LT meetings
  • Creating the agenda for the LT meetings, together with CP and team
  • Supporting misc project coordination and implementation, as needed (e.g. on-boarding coordination, internal communication)
  • Supports other Nordic SMT colleagues as needed

You work on several tasks for different individuals in different functions, which means you have the ability to be flexible.

We expect you to be clear in your communication on expectations and deliveries to optimise the collaboration with your customers and colleagues.

Our Expectations

You have several years of secretarial experience in a comparable position and in-depth knowledge of business administration. We expect you to have completed training in the commercial sector and/or adequate training. You also have:

  • Confident handling of all MS Office applications and SAP
